Founded in 2017, Moonshot is recognized nationally as a model for a community-based approach to identifying a diverse pipeline of leaders and accelerating them to design and launch innovative solutions that center youth on the margins. Moonshot grows a community of BIPOC & historically marginalized leaders with the skills and resources to design collaborative solutions that disrupt systemic inequities impacting youth. Moonshot is currently supporting our seventh cohort of Fellows and continuing to grow our alumni network and services. 

 

THE OPPORTUNITY

Moonshot edVentures seeks a Manager, Operations & Executive Support to provide administrative support to the CEO with the goal of maximizing their efficiency and effectiveness and to manage Moonshot’s new coworking space, The Station. 

The Station is a new, affordable, accessible coworking office space for small or start-up youth-serving, equity-driven organizations in Denver. The Station provides a physical location to catalyze networking, coalition-building, and community support for Moonshot alumni organizations and mission-aligned organizations.

This person will be managed by the Managing Director of Operations and will be part of the Finance & Operations subteam. This is a new role. The responsibilities of this position were previously covered by part-time staff. 

 

RESPONSIBILITIES

The primary responsibilities will include, but are not limited to, the following:

[25%] Executive & Team Administrative Support 

  • Manage the CEO’s calendars, including scheduling meetings and supporting their prioritization and sustainability 
  • Manage the CEO’s inbox, including drafting, sending, and organizing emails to maximize their time and efficiency
  • Manage internal team communications, including updating and maintaining team meeting materials and documents 
  • Manage logistics for team meetings and retreats (e.g., quarterly stepbacks and annual retreat), including travel arrangements, supplies, food, scheduling, and reservations 
  • Manage logistics for the Leadership Team (CEO and three Managing Directors), including scheduling and handling meeting logistics

[65%] Coworking Office Management 

  • Office Organization & Equipment Maintenance
    • Maintain and organize office supplies inventory and order new supplies as needed
    • Manage office vendor relationships, including invoicing, communication, conflict resolution, and troubleshooting as needed
    • Ensure office equipment and environment are in good working condition, including daily maintenance cleaning (e.g., taking out the trash, cleaning the fridge, wiping down surfaces) and communicating with the building manager and landlord as needed. There is a nightly cleaning crew that does sweeping and trash pick-up.
    • Serve as on-site tech support for internet and technical equipment needs
    • Assist the Moonshot team with other projects or administrative tasks related to the office space
  • Tenant Communication, Scheduling, Policy & Billing Management
    • Greet visitors, handle inquiries, and provide excellent customer service to tenants and visitors
    • Manage and serve as lead admin for Optix (coworking management software), which includes the following:
      • Calendar and online rental system for communal spaces and events in the office 
      • Invoices and billing for tenants
      • Tenant communications, including collecting, analyzing and responding to feedback
    • Sort and deliver tenant mail and packages each day
    • Ensure office policies are upheld by tenants and visitors 
    • Support tenant recruitment through outreach and leading tours, responding to new member inquiries, and leading tours
  • Community & Culture Building
    • Support the design and facilitation of community-building events utilizing input from tenants and the broader community
    • Run logistics and operations for community-building events, help set up for events, meetings, and tours
    • Recruit attendees through direct outreach, social media, and marketing for community-building events

[10%] Team-wide Responsibilities

  • Attend weekly team meetings and manager check-ins, quarterly stepbacks, all-team events (Showcase), and an annual retreat; complete team-wide responsibilities and asks as needed (e.g. providing input for strategic planning)
  • Work to achieve meaningful outcomes, contribute to building a strong team and culture and commit to own learning + development aligned to Moonshot Core Values.
  • Serve as an ethical and responsible organizational steward of Moonshot internally and externally.

ADDITIONAL INFORMATION

  • Must be available and on-site at the Moonshot Coworking Space (3840 N York Street, Suite 100) Monday - Friday from 9am - 3pm
  • Occasional weekend and weeknight programming, as needed

Full-time

COMPENSATION & BENEFITS:

  • Competitive Wages: The salary range for this position is $60,000 - 65,000.
